MCA Managed IT (mcamanagedit.ie) and iSchool (ischool.ie) have their own websites and privacy policies, which apply when you use those sites or services. Please read those policies on their own websites.
We have not appointed a Data Protection Officer because the law does not require us to. Please send any privacy question to the email address above.
2. The personal data we collect
- Enquiries: when you phone, email or contact us, we collect your name, contact details (phone number, email address), your organisation, and the content of your enquiry.
- Business account applications: your business name and address, contact names, phone and email, billing details, and VAT number. To assess an application we may carry out credit checks or ask for trade references.
- Customers and orders: details needed to supply goods and services, issue invoices and arrange delivery, including delivery addresses and order and payment records.
- In-store customers and IT repairs: your name and contact details, and details of the device and fault when you leave equipment with us for repair.
- Website use: technical information collected automatically by our hosting provider and embedded services, such as IP address, browser type and pages visited (see section 8, Cookies).
We do not ask for special categories of personal data (such as health information) and we ask that you do not send them to us.
3. Why we use it and our lawful basis
- To answer your enquiry and provide quotes: steps taken at your request before entering a contract, or our legitimate interest in responding to people who contact us.
- To supply goods and services, deliver orders and carry out repairs: performance of a contract.
- To assess and manage business accounts, including any credit checks or references: performance of a contract and our legitimate interest in managing credit risk.
- To keep accounting, tax and invoice records: compliance with a legal obligation.
- To run, secure and improve our website: our legitimate interests.
- To send marketing, where applicable: your consent, which you can withdraw at any time, or, for existing business customers, our legitimate interest in telling you about similar products, with an easy way to opt out.
4. Who we share it with
We do not sell your personal data. We share it only with service providers who process it on our behalf under contract (processors) and as the law requires:
- Wix.com: website hosting.
- Google: Google Maps embeds on our location and contact pages.
- Microsoft 365: email and office services, provided by Microsoft Ireland Operations Ltd as our processor.
- Delivery companies and couriers, to deliver your order.
- Credit reference agencies, where we carry out a credit check on a business account application.
- Our accountants, auditors, legal advisers, Revenue and other authorities, where required by law.
5. International transfers
Some of our service providers (for example Wix and Google) may process data outside the European Economic Area, including in the United States. Where this happens, we rely on appropriate safeguards such as the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses. Microsoft 365 data is processed in the EU under Microsoft's EU Data Boundary where applicable; where Microsoft transfers data outside the EEA (for example for limited support or security purposes), the same safeguards apply.
6. How long we keep it
- Business account, order and invoice records: 6 years from the end of the relevant tax year, as required by Irish Revenue record-keeping rules.
- Enquiries that do not lead to an order: 2 years from our last contact (proposed).
- Repair records: 90 days after the repair is completed.
- Unsuccessful business account applications: not kept on file. We delete the application details once the decision is made.
After these periods we delete or anonymise the data securely.
7. Your rights
Under GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased, where there is no good reason for us to keep it;
- restrict or object to our use of your data, including objecting to direct marketing at any time;
- receive your data in a portable format;
- withdraw consent at any time, where we rely on consent.
To use any of these rights, email Sales@mcardles.ie or write to us at the address above. We will respond within one month. We may need to verify your identity first.
If you are unhappy with how we have handled your data, you can complain to the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, at www.dataprotection.ie. We would appreciate the chance to deal with your concern first.
8. Cookies
Essential: this website uses only the cookies and similar storage needed to run and secure it, set by our hosting provider, Wix. We also store your cookie choice in your browser's local storage so we don't ask again. These do not need consent.
Google Maps (optional): our location and contact pages can show Google Maps, which may set cookies and collect information such as your IP address. Maps load only if you accept, either through our cookie banner or by choosing "Load map"; until then you see a placeholder with a link to open the location in Google Maps. Google's use of that data is described in Google's Privacy Policy.
Fonts: the fonts on this website (Inter and Manrope) are hosted on our own website, so no request is made to Google Fonts or any other font provider.
We do not use analytics or advertising cookies. You can change or withdraw your choice at any time using the "Cookie settings" link in the footer of every page; if you withdraw consent, maps will no longer load on your next page view. You can also block or delete cookies in your browser settings.
9. Security
We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access.
10. Children
This website and our business accounts are not aimed at children under 16, and we do not knowingly collect their personal data online. Schools ordering for pupils do so as the organisation.
11. Links to other websites
This website links to other sites, including MCA Managed IT, iSchool and social media. We are not responsible for the privacy practices of other websites. Please read their policies.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
